Parent Code of Conduct

Parents are expected to encourage their child to do their best, with the focus on fun, learning, and growth. It’s important to show appreciation for all players, not just your child, and to promote teamwork. Parents should respect the coaches, officials, and volunteers, understanding that coaches help children develop, and officials make decisions to ensure fair play. Communication with coaches should be private and respectful, and parents should avoid sideline coaching, allowing the coach to lead the team.

Good sportsmanship is essential; parents should encourage their child to show respect for opponents, celebrate effort, and win or lose with humility. Parents must ensure their child is properly prepared for participation, including having the necessary equipment, and report safety concerns promptly. Participation in sports should focus on development, fun, and learning, not just winning games. Parents must respect the team and club’s rules, showing consideration for other players, parents, and the facilities used. Parents should refrain from over-involvement, giving their child space to enjoy their sport, while allowing them to express their interests and goals.

As role models, parents must set an example of respect, kindness, and good sportsmanship. Parents should remember that their behavior sets an example for their child and others around them. Failure to honor this Code of Conduct may result in the dismissal of both the parent and the player from games, practices, or the team. The well-being of the players and the integrity of the program are top priorities.
Barring an emergency or specific instruction from the coach, parents are not permitted on the practice field. This helps maintain focus for players and coaches. Parents are responsible for maintaining any issued equipment and uniforms, ensuring they are returned in good condition at the end of the season. Failure to return items may result in charges for replacement or repair.

When participating in group chats for team communications, parents are expected to be respectful, keeping messages positive and relevant to the team. Criticism of players, coaches, or officials should be avoided, and personal grievances or venting should be addressed privately, not in the group chat. If there is an issue, it should be addressed in person or via phone with the coach, rather than through email or group chat. Parents should approach coaches respectfully, avoiding confrontations before or after games and practices. To ensure constructive conversation, parents should allow a 24-hour cooling-off period before addressing any concerns.

Photo Consent & Release

I hereby grant permission to the KCPYSA to use any images/videos of my child or myself, captured during regular and special KCPYSA activities through video, photo, or digital camera, to be used solely for the purposes of KCPYSA promotional materials, publications, and team photo galleries, and waive any rights of compensation or ownership thereto. I further agree that these images of my child or myself may be included in brochures, posters, websites, social media, and print media for the KCPYSA.

KCPYSA has implemented precautions, based upon available guidance from public health agencies, to minimize risks to participants relating to COVID-19; however, I understand that the nature of this KCPYSA activity makes it impossible to consistently ensure physical distancing of 6 feet or more or otherwise eliminate all risks to participants.

I understand that my child’s or my participation in this activity may therefore include possible exposure to infectious diseases (including, but not limited to, COVID-19) and the risk of serious illness or death.

I knowingly and freely assume all such risks and assume all responsibility for my child’s and my participation, and I agree to release, hold harmless, and covenant not to sue KCPYSA including their officers and volunteers, from any claims arising from, or in connection with exposure to or transmission of COVID-19 during KCPYSA sports and activities.

I acknowledge that I am responsible for ensuring that my child and I will comply with KCPYSA’s terms and conditions for participation in this activity and as may be updated from time to time at KCPYSA’s discretion, including to conform with applicable governmental requirements, and CDC guidance. Noncompliance may result in my child or myself being removed from participation and prohibited from returning to the activity, with no refund being issued.

Parental Financial Agreement

This agreement outlines the financial responsibilities of the Parent/Guardian regarding the Participant’s enrollment in the sports program. By signing this document, the Parent/Guardian acknowledges and agrees to adhere to the following terms:

1. Registration Fee The Parent/Guardian agrees to pay a non-refundable registration fee of $100 to secure the Participant’s spot in the program. . Failure to submit the registration fee may result in the Participant’s spot being forfeited or delayed.

2. Additional Costs In addition to the registration fee, the Parent/Guardian understands that there may be additional costs associated with the program. These costs could include personal equipment (such as uniforms, gear, etc.), snack contributions, transportation, or any extra support required for the Participant. All additional expenses will be clearly communicated in advance, and the Parent/Guardian agrees to pay these fees promptly as they arise.

3. Financial Assistance If the Parent/Guardian encounters financial difficulty and is unable to make the required payments, they are encouraged to reach out to the coaching staff directly. The program may offer financial assistance options, such as payment plans or other accommodations, to help support the Participant’s continued enrollment. It is the Parent/Guardian’s responsibility to initiate this conversation early to explore possible options.

4. Payment Methods Payments for all fees associated with the program can be made through various methods for convenience. These methods include credit or debit card, Cash App, PayPal, Zelle, online portal, check, or cash. Payments must be made on time in order to maintain the Participant’s enrollment in the program. Timely payments ensure that the Participant will continue to have access to all activities and services associated with their enrollment.

5. Consequences of Non-Payment The Parent/Guardian acknowledges that failure to make timely payments may result in consequences, including but not limited to suspension or cancellation of the Participant’s enrollment in the program.

Additionally, if payment is not received, the Participant may be restricted from participating in certain activities, or their access to the program may be revoked entirely until payment is made. The program reserves the right to enforce these consequences in order to maintain the financial health and integrity of the program.

6. Registration fees are non-refundable.
